The Visits & Functions Assistant serves to assist the political team at the Singapore High Commission with a greater focus on visits, trips, and events. Other tasks include assisting in political and economic research, as well as conceptualising and executing Mission’s social media outreach efforts as directed by the team.

The Visits & Functions Assistant would be responsible for:

  • Providing administrative and logistical planning, coordination, and support for official visits and trips.
  • Organising meetings, events, site visits, and etc., including logistical preparation and planning and on the ground coordination and execution.
  • Liaising with government agencies, thinktanks, private companies, and vendors in both English and Hindi, in connection with the above.
  • Summarising and/or translating Hindi documents/media reports into English.
  • Providing social media support including taking photographs and composing posts/video content for the High Commission’s social media.
  • Conducting research from open sources on political and economic developments.

The ideal candidate would:

  • Have a postgraduate degree.
  • Have at least five years of experience in a relevant or related role.
  • Have a good command of spoken and written English and Hindi.
  • Have proficiency in Microsoft Word, Excel, and other media-related digital tools such as Canva, Inshot, or others.
  • Have good people skills and be able to work with people from different backgrounds.
  • Have an eye for detail, and a preference for precision and rigour in his/her work.
  • Be adaptable and able to think on his/her feet, a team player, and able to multitask.

A career at the Singapore High Commission as a Visits & Functions Assistant would:

  • Be varied, challenging, and fast-paced.
  • Involve regular domestic travel within India and occasional international travel to Bhutan and Nepal for official trips, typically between one and three days long.
  • Allow for career progression, potentially to a supervisory role as the Executive Assistant in charge of the Political Support Staff team.
